Help: day cycle (Schedule, Billing, cash, and Z Closure)

Practical guide for the administrator or cashier. Follow this order; do not skip steps.

Appointment → Service → Payment (Billing) → Commission → Cash register → Z Closure → Reports

Z Closure closes the operating day. It is not a tax invoice or an electronic invoice.

1. Schedule

  1. Complete the appointment (in service → completed).
  2. If the client paid, use Bill from the appointment detail.
  3. If there was no charge (courtesy, membership, no-show, canceled), resolve it with the status or No charge plus a reason.
  4. Do not leave appointments hanging: they block that day’s Z Closure.

If Billing asks you to go to the Schedule because of a pending Z Closure: resolve that day, not today.

2. Billing (charge)

From the appointment or from Billing:

  1. Confirm client, services, and products.
  2. Choose the payment method. For electronic payments, record the reference.
  3. Tap Charge / record. A draft does not count as paid: Z Closure will still show the appointment as pending.
  4. When you finish, return to Z Closure: the appointment should no longer appear as unpaid.

Do not open today’s cash register if a previous day’s Z Closure is still pending. You can charge appointments for that pending day.

3. Cash register

ActionWhenWhat it does
Open cashStart of the shiftChange float. It will not open if a previous day’s Z Closure is pending.
Close cashEnd of the shiftCash count: you count cash and compare it with recorded sales. It does not close the day.
Z ClosureEnd of the operating dayCloses the day in the system (single wizard).

If cash or sales do not match when closing the register, enter a note. You cannot close with a difference and no explanation.

4. Z Closure (one screen)

Open it from Billing (⋮ menu), Commissions, POS, Profile, or at sign-out if the day is ready.

  1. Validation: resolve open appointments and completed unpaid ones.
  2. Cash count: if there was cash, count it and close the register.
  3. Summary: review the day’s totals (internal X report).
  4. Confirm Z Closure.

If several days are pending, close the oldest one first (chronological order).

Common problems

I billed and when I return the appointment is still “unpaid”.

Make sure you recorded the payment, not a draft. Wait for the Schedule to reload; do not bill the same appointment again.

I cannot open the cash register.

There is a pending Z Closure. Close it first (or charge that day’s appointments and then close).

Is closing cash the same as Z Closure?

No. Closing cash is the cashier’s count. Z Closure closes the business day.

Does a credit sale block Z?

No. Credit with a balance stays in accounts receivable. What does block Z is an incomplete payment or a draft.

Where to find each thing

  • Schedule: Look Manager → Schedule.
  • Charge: appointment detail → Bill, or the Billing module.
  • Cash register: Billing → ⋮ menu, or POS.
  • Z Closure: the same wizard in all of those menus.
