Billing (Manager)

Billing (Manager)

LookAgenda has three billing models you should not mix. The process is the same in countries with electronic invoicing, especially Panama (DGI) and Colombia (DIAN); only the last-mile channel changes.

ModelWhat it isRequired?
1. Record internal saleOperational charge: services/products, payment, cash register, commission. Administrative record.Core of day-to-day (CORE)
2. Commercial billingBuilds the ready document (FAC) from sales already recorded and sends it to the fiscal printer; the transmission device reports it to the governmentModule / add-on
3. Electronic billingThe same commercial document is sent to the PAC or technology provider, which reports it to DGI/DIANAnother module + provider costs

Operational flow

Appointment → Completed service → Sale → Payment → Commission → Cash register → Z Closure → Reports

A draft does not count as paid and does not feed the cash register or Z Closure. After charging an appointment for a day with a pending Z, return to the wizard: do not open today’s cash register.

Help: Day cycle.

Optional, after the sale:

Internal sale → Ready commercial document → Fiscal channel → Authority

The fiscal channel is:

  • Fiscal printer + data transmission device to DGI/DIAN, or
  • Electronic invoicing (PAC / provider) to the same authority.

Look Manager does not claim government authorization until the fiscal channel confirms.

Record sale (always first)

Even if you do not have commercial or electronic billing:

  1. Charge the service or the direct sale.
  2. Choose payment methods and tip if applicable.
  3. Confirm: that moves cash register, reports, and commissions.

Commercial billing (module)

It is activated according to the contracted plan or add-on. You can request it; Look-Agenda reviews it in Suite Control.

When active:

  • It issues the commercial document (FAC numbering) from sales already collected.
  • It leaves the document ready for the fiscal channel.
  • It sends it to the fiscal printer; the transmission device reports it to the authority.
  • Taxes, PDF/representation, voids, and credit notes when the module and country allow it.

An issued invoice is not edited by hand: it is corrected with a void, credit note, or another accepted document.

Electronic billing (module)

  • Same process as the fiscal printer: it starts from the ready commercial document.
  • Depends on the country and the contracted tax provider (PAC in Panama, technology provider in Colombia).
  • It may have a fixed cost, document package, or per-document cost.
  • If the provider, printer, or device fails, the sale and cash register must still be able to continue; the fiscal submission stays pending or in retry.
  • Fiscal credentials belong to the business; they are not shared between locations.
