Sales, payments, and cash register (Manager)

Sales, payments, and cash register (Manager)

Record a sale

You can:

  • Charge from a completed appointment, or
  • Create a direct sale (without a prior appointment).

Typical flow:

  1. Identify or create the client.
  2. Add services, products, or other charges.
  3. Associate the responsible professional when applicable.
  4. Apply a discount only if you are authorized.
  5. Review totals (price → discount → net → tax → total).
  6. Record the payment (one or more methods) and the tip separately if applicable.
  7. Confirm the sale.

Calculation order LookAgenda uses:

  1. Base price
  2. Authorized discount
  3. Net subtotal
  4. Tax
  5. Total charged
  6. Professional commission (according to the configured base; by default it is usually the service net, without tax)

Sale ≠ electronic invoice

  • Recording a sale is part of daily operations and is available according to the business plan. It is an internal record: it does not go to the government.
  • Commercial billing builds the ready document (FAC) and sends it to the fiscal printer; the transmission device reports it to DGI/DIAN. It is an additional module.
  • Electronic billing sends the same document to the PAC/provider. If the provider, printer, or device fails, the internal sale and cash register must still be able to operate.

For intensive billing work, preferably use Manager web (tablet/desktop).

Cash register

According to plan and modules:

  1. Open the cash register at the start of the shift (change float).
  2. Record sales and movements (in/out) linked to the cash register.
  3. Review reconciliation / totals by payment method.
  4. Close the cash register at the end of the shift: count cash and compare it with recorded sales. If there is a difference, enter a note.

Important rules:

  • Closing cash is not Z Closure. The cash count closes the cashier’s shift; Z Closure closes the business day.
  • If a previous day’s Z Closure is pending, you cannot open the cash register for a new day. Close that day first (you can still charge appointments for that date).
  • An invoice draft does not move the cash register and does not count as paid.

LookAgenda operational X/Z reports are not official tax documents.

Commissions when charging

Professional commissions usually accumulate when the service payment is recorded. An appointment that is canceled or only rescheduled at close does not generate a commission.
